ONCE submitted, OUR EVENTS TEAM WILL BE IN TOUCH TO FINALISE ANY OUTSTANDING DETAILS & ARRANGE THE FINAL BALANCE PAYMENT.


WHAT YOU NEED TO KNOW.

DEPOSIT/PAYMENT TERMS/CANCELLATIONS

A minimum deposit of $300.00 or 10% of the estimated total is required upon booking your event to secure the date & space. This is a non refundable booking fee which will be deducted from the final payment. Please note your booking is not confirmed until payment of the deposit is received by The Epicurean Group. Final numbers must be confirmed approx. two weeks prior to the event with the final payment also due at this time.

PRICES, SURCHARGES & VALIDITY

Prices are subject to change without notice. A surcharge of 5% applies to all Saturday & Sunday bookings. A Surcharge of 20% applies to all events hosted on Public Holidays.

If, due to unforeseen circumstances The Epicurean Group is unable to provide the agreed menu or services, then The Epicurean Group reserves the right to adapt details accordingly, in consultation with you.

EVENT PLANNING & MANAGEMENT

The Epicurean Group will assign each client an Events Manager who will work with you on planning and logistical elements of preparing your event. Our Events Team will be in touch to confirm your event details two weeks prior to the event. In the meantime our Team can answer any general enquiries and are available via events@theepicurean.com.au

The Epicurean Group also has an exceptional Operational Team who will execute your event in consultation with your designated Events Manager.

VENUE FEES

A minimum $500 venue fee is applicable to all exclusive event spaces and waived at the discretion of management. Venue fees may be adjusted by management to meet minimum spend requirements.

EXCLUSIVE VENUE USE

For exclusive use of any of our unique, regional venues across The Epicurean Group, please discuss bespoke dining options with our Sales Team as this is Priced On Application.

MENUS
Event menus are subject to change without notice based on seasonal availability of produce.

GUEST NUMBERS & FINAL DETAILS

For the smooth running of your event, The Epicurean Group requires finalisation of the menu, service times and final guest numbers no later than two weeks prior to the event (eg: when final payment is due).

DIETARY REQUIREMENTS


When preparing your invitations, please ask guests if there are allergies and/or intolerances relating to the menu. All dietary requirements* will be catered based on individual guest’s requirements please ensure you include this detail
on your invites to accommodate individual requirements. Unfortunately, dietary requirements cannot be guaranteed unless previously arranged.

*Please note individuals who require vegetarian meals will be accommodated individually as they are considered a dietary requirement. Additionally, The Epicurean Group will endeavour to accommodate food allergies, however we can not guarantee allergy free meals due to the potential of cross contamination in the working environment and supplied ingredients.

CHILDREN’S PACKAGES


The Epicurean Children’s Package consists of a child’s meal, dessert and soft drink. It is priced at $35pp and is suited to children under 12years.

BEVERAGE PACKAGES


Please be advised a beverage package is considered a minimum requirement for events of 40+ guests and is applied to all guests 18+. Beverage Packages commence at the time stated on your event booking details. Wine selections are subject to vintage; The Epicurean Group reserves the right to source a product of the same quality should the wine be unavailable due to vintage availability.

BIRTHDAY CAKES


You’re most welcome to bring a cake to enhance your celebration. The Epicurean Group will provide complimentary plates & cutlery if you
are happy to cut and serve yourself. If you would like our Chef to cut and serve your cake, a $2.50 cakeage fee per person is applicable. Please advise your Event Manager if you desire to bring a cake.

STYLING & DECORATION

The Epicurean Group provides strict guidelines when considering decoration. Styling & decoration are not permitted to hang, compromise or alter the aesthetics of the design of the venue in any way without prior approval. All additional styling & decoration must be removed upon the conclusion of your event and is subject to approval.
 Decorations which are easily erected and removed are permitted if approved by Management. As our menus are delivered in a shared style, we recommend the grouping of table decorations or florals for ease of service. Candles may be used given they are in an enclosed base.To enhance the rustic nature of our tables we do not provide table linen *with the exception of the Loft.

The Epicurean Group does not take responsibility of personal items or styling elements left behind and the client will be liable for the repair or replacement costs of any damage to additional styling items along with any damage to the venue or venue’s furnishings.

The Epicurean Group reserves the right to alter any and all venue furnishings at any time.

EXTERNAL SUPPLIERS & VENDORS


The Epicurean Group has a listed of endorsed suppliers. You are not required to utilise any of our recommended suppliers, however The Epicurean Group must approve all entertainment and external vendor arrangements.

BUMP IN/OUT

We provide access to the venue for the purpose of bump-in 1 hour prior to the commencement of the event. We understand that your vendors may require additional bump-in time which can be organised in consultation with your Events Manager which may be accommodated where possible.
Please be advised all styling and personal items must be removed at the conclusion of your event. Please ensure you make arrangements for the bump-out of all styling components and personal items as The Epicurean Group can not accept any responsibility for these items at the conclusion of your event.

FLOOR PLAN


The Epicurean Group is experienced with most appropriate floor plan arrangement based on your guest numbers. Long banquet style tables are always the preferred option, however we appreciate your cooperation when devising the most suitable floor plan. The Epicurean Group aims to provide a floor plan which is not only aesthetically pleasing but also operationally viable.

CLEANING

The Epicurean Group has contract cleaners that clean the venue. If substantial additional cleaning is required after a function or wedding, the costs will be forwarded to the client for prompt payment.
